Privacy and Information Practices
Privacy Policy
This policy explains how information submitted through our website, email, and author-service inquiry process is handled.
Effective date: July 15, 2026
1. Scope of this policy
This Privacy Policy explains how CVF Books & Publications collects, uses, stores, and shares information received through this website, email communications, project inquiries, and manuscript or document submissions.
2. Information we may collect
Information may include your name, email address, telephone number, preferred contact method, working book title, project type, manuscript stage, requested services, estimated word count, project description, and other information you voluntarily provide.
When you upload a manuscript, outline, proposal, sample, or other document, the submitted file and its contents may also contain personal, professional, creative, confidential, medical, legal, financial, or other sensitive information. Please submit only information reasonably necessary for an initial project review.
3. How information is collected
Information may be collected when you:
- Submit the project inquiry form;
- Upload a manuscript or supporting document;
- Send an email or respond to our communications;
- Request information about books or author services; or
- Enter into a publishing or professional-services relationship.
4. How we use submitted information
We may use submitted information to review project fit, respond to inquiries, communicate about requested services, prepare estimates or proposals, evaluate manuscripts, provide contracted services, maintain business records, protect legal rights, prevent misuse, and improve our services.
Submission of a project does not guarantee acceptance, publication, representation, a service agreement, or any particular commercial result.
5. Form processing and third-party services
The website contact form is processed through Web3Forms. Information and attachments submitted through the form are transmitted through that service and delivered to CVF Books & Publications by email. Web3Forms acts as an outside service provider and processes submission data according to its own privacy, security, retention, and data-processing terms.
The website may also use services provided by Cloudflare, DigitalOcean, DreamHost, Amazon, and other vendors for hosting, security, email, publishing, or related business operations. Those providers may process limited technical or business information as necessary to provide their services.
6. Manuscripts and intellectual property
You retain ownership of material you submit unless a later written agreement states otherwise. Submitting material grants CVF Books & Publications permission to access, copy, transmit, and review the material only as reasonably necessary to evaluate the inquiry, communicate with you, and provide any services you later authorize.
Do not submit material you do not own or have authority to share. Do not submit original files that are your only copies.
7. Retention and deletion
Inquiry information and submitted files may be retained for as long as reasonably necessary to review the project, respond to you, maintain business and legal records, provide requested services, resolve disputes, and protect the company and its users.
Information that is no longer reasonably needed may be deleted, archived, or anonymized. Copies may remain temporarily in email systems, backups, security logs, or service-provider systems until those systems complete their normal retention cycles.
8. How information may be shared
We do not sell personal information. Information may be shared only as reasonably necessary with service providers, contractors, editors, designers, formatters, legal or accounting professionals, publishing platforms, or other persons involved in evaluating or completing an authorized project.
Information may also be disclosed when required by law, legal process, court order, governmental request, protection of rights or safety, prevention of fraud, or enforcement of an agreement.
9. Security
Reasonable administrative, technical, and operational measures are used to protect submitted information. However, no website, email system, file-transfer method, cloud service, or storage system can be guaranteed completely secure.
Do not submit Social Security numbers, banking credentials, payment-card numbers, passwords, classified information, privileged legal communications, protected health records, or other highly sensitive information through the general inquiry form.
10. Children’s information
This website and its professional services are not directed to children under 13. We do not knowingly request personal information from children under 13 through the project inquiry form.
11. Your choices and requests
You may ask to review, correct, or delete personal information that you previously submitted, subject to legal, contractual, recordkeeping, backup, and legitimate-business requirements.
Requests may be sent to [email protected]. We may need to verify your identity before acting on a request.
12. Changes to this policy
This policy may be updated as the website, services, vendors, or legal requirements change. The effective date at the top of the page identifies the current version.
